Create an email template
Write reusable messages while keeping personal details and secure links correct.
Before you start
- Decide when the message will be used: quote, planning request or another client update.
Step by step
Add or open a template
Choose a descriptive internal name so the team can find it later.
Write the subject and message
Use short paragraphs and one clear next action for the client.
Keep supported placeholders
Use the merge fields offered by the editor. For quote emails, retain {{quote_link}} so the actual secure quote link can be inserted when sending. Do not paste a previous client’s sign-in link.
Review the signature setting
Choose whether the standard email signature should be appended.
Save and preview in context
Open the template from the relevant quote or job email screen and confirm the client’s name, recipient, links and attachments before sending.
What happens next
The message can be reused without copying a previous client’s private link.
Helpful tips
- Avoid promising an attachment unless it is actually included in the outgoing message.
- Saving changes to the template does not send the message.
Troubleshooting
A placeholder appears as plain text
Use a supported field for that message type and check the preview.
The quote link is missing
Restore the quote-link placeholder and review the outgoing quote email.
