Create and send a quote
Take a lead from an initial offer to a secure quote email.
Before you start
- Check the client’s email address, wedding date and venue.
- Have a suitable quote template ready, or plan to start with a blank quote.
Step by step
Open the lead
Select the couple from Leads and check the booking information.
Choose Add quote
Choose Pick & Choose when the client should select packages and extras, or Fixed for one agreed offer.
Choose your starting point
Select a template or a blank quote, then create the quote.
Review the offer
Check package choices, extras, prices, discounts, expiry date and client-facing notes. Save your changes.
Prepare the quote email
Open the send controls. Choose the intended email template and review the recipient, subject, secure link, signature and attachments.
Send once you are ready
Confirm the final send action. Check the communication status rather than assuming that saving the quote sent it.
Follow up from the lead
Review the quote and email activity. When the client accepts, continue with the linked job and its booking requirements.
What happens next
The client receives a secure link to the sent quote.
Client accepts: Continue in the linked CRM job.
Changes needed: Create a revision, review it and send the new version.
Helpful tips
- If you create a new revision after sending, it remains a draft until you send it. An older email link may no longer open the replaced version.
- The quote email link does not expire. If the client is not signed in, the portal offers a fresh secure sign-in link, valid for 30 minutes. The quote’s acceptance expiry date still applies.
Troubleshooting
The client sees “link unavailable” or “already used”
Check whether the quote was revised after sending. If the latest version is a draft, review and send it. For a current sent quote, the client can request a fresh sign-in link from the portal.
The email says failed
Read the failure reason and check Email settings before retrying.
The quote is still a draft
Saving is not sending. Open the send controls and finish the send action.
