Set up your CRM templates
Understand which template does what, and set up a reusable booking process.
Before you start
- Decide on your packages, client messages, booking terms and the questions you need answered.
- You need permission to manage CRM settings. Available template types depend on your plan.
Step by step
Create your packages first
Add the services and extras you sell in Packages & add-ons. Check descriptions, prices and any images.
Build quote templates
Choose the packages and extras to include in a typical quote. A quote template is your starting offer, not a sent quote.
Write email templates
Prepare messages such as quote introductions and planning requests. Keep supported link placeholders intact.
Prepare contract and questionnaire templates
Add your booking terms and the questions specific to your service. Shared wedding details already collected in WedPlanned do not need to be asked repeatedly.
Create a workflow template
Add your standard tasks in the order your team works. Review any default-template setting so it is applied to the intended jobs.
Try the complete journey
Create a test lead, prepare a quote and inspect the client-facing previews. Check each document before using the templates with a real client.
What happens next
You have reusable starting points for the main stages of a booking.
Helpful tips
- Changing a template is not the same as editing a quote or questionnaire that has already been created. Review existing records separately.
- Use clear names such as “Full-day photography — 2027” rather than several templates called “Default”.
Troubleshooting
A package is missing from a quote template
Check that it exists and is available in Packages & add-ons.
The wrong workflow appears on new jobs
Review your default workflow template and the workflow applied to the job.
