Create a workflow and manage tasks

Start with tasks for your business type, adjust the timing and save a workflow that fits your work.

Before you start

  • List the tasks you carry out before and after a wedding.

Step by step

  1. Choose a starter or open your saved workflow

    The starter business type follows your configured business type. Review its main tasks, tick any optional suggestions you want, then choose Create draft from starter. You can browse another business type without changing your saved workflow or default.

  2. Make the tasks your own

    Name the workflow for your service. Add main tasks or optional suggestions from the Step library, create your own step, or remove anything you do not need.

  3. Set dates and review the order

    Choose days before, on or after the wedding or booking date. Steps move into date order as you add or edit them. Drag to arrange steps due on the same day.

  4. Save the workflow

    Make the template Active when ready. Only switch on Use as my default if you want it applied when a new enquiry is accepted. Then choose Save workflow at the top or bottom and check the saved confirmation. Creating a starter does not replace your existing default.

  5. Apply to existing jobs only when needed

    Saving a template keeps existing jobs unchanged. To update current jobs, open Use this saved workflow on existing jobs, choose Review jobs to update and check the summary before applying. Existing dates, completed work and custom steps are retained; historical jobs keep their history.

  6. Open a job’s Wedding workflow

    Review the next task, due dates and completed steps. Add or edit an individual task where that wedding needs something different. Job confirmed already records that booking details were captured.

  7. Complete tasks as you work

    Mark a task complete only after doing the action. A reminder’s checkbox does not send an email, deliver photos or post to social media.

  8. Review automated emails separately

    For an automatic email, check its template, recipient, trigger, timing and enabled state. A pending task and an enabled automatic email are different things.

What happens next

You have a saved workflow suited to your business, with a clear next action on each job.

Helpful tips

  • Optional suggestions are added only when you select them. Browsing starters leaves your current workflow in place.
  • Timeline and questionnaire request steps have supported email automation. Other email-type steps are manual reminders. Check each job’s schedule and enabled state; past-due requests may be paused for review.
  • Step order does not make one task wait for another. Dates determine when the work is due.

Troubleshooting

A task is overdue

Check its due date and whether the action has actually been completed. Edit the individual date when necessary.

An automatic email has not sent

Check enabled or paused status, the trigger date, recipient and any delivery error.
